This article provides instructions on how to force remove training from user transcripts and force remove all users from a Learning Assignment (LAT).
To remove training from users' active transcripts, use the Remove from Transcript or the Force Removal from Assignment/Transcript function. This allows you to remove training from the transcript of all users in a Learning Assignment (LAT) group and inactivate a dynamic LAT. Training that is in the Not Started or In Progress statuses will be removed. Training in the Completed status will remain in the Completed transcript and will not be removed.
Test in Pilot prior to performing the removal in the Production environment.
ADMIN > LEARNING ASSIGNMENT TOOL > Search for the applicable LAT
Standard Assignment
This action will remove all users from this Standard assignment and remove training from users' transcripts, if in Not Started or In Progress status.
- Select the applicable LAT Title.
- Select the REMOVE FROM TRANSCRIPT option in the Process section of the Assignment Summary page. This removal action cannot be undone, so be certain before taking this action. A WARNING message will appear.
- Wait for processing. This may take from a few minutes to several hours, depending on how many users were in the assignment.
- Confirm that users have been removed from assignment and training has been removed from transcripts.
- Return to the LAT and scroll down to Transcript History and review list of Users.
- You should note “REMOVED FROM ASSIGNMENT” by each user’s name.
- If users were in Not Started or In Progress status, you should also note "REMOVED FROM TRANSCRIPT."
- Navigate to ADMIN > USERS and spot-check some user transcripts to confirm that this is now in their Removed transcript.
- If user previously completed this training, this training will be found in their Completed transcript.
- You can also run a report to confirm the training has been removed from users' transcripts (users who were in Not Started/Registered or In Progress status).
Dynamic Assignment
This action will force remove training from users' transcripts, remove all users from this dynamic learning assignment (LAT), and inactivate this dynamic LAT. This LAT will no longer process.
- Select the applicable LAT Title.
- Toggle the Active option off to inactivate the LAT.
- Now the Force removal from Assignment/Transcript REMOVE option is visible and clickable. This removal action cannot be undone, so be certain before taking this action. When certain, select REMOVE option. A WARNING message will appear.
- Wait for processing. This may take from a few minutes to several hours, depending on how many users in the assignment.
- Confirm that the users have been removed from assignment and that the training has been removed from their transcripts.
- Return to the LAT and scroll down to Transcript History and review list of Users.
- You should note “REMOVED FROM ASSIGNMENT” by each user’s name.
- If users were in Not Started or In Progress status, you should also note "REMOVED FROM TRANSCRIPT."
- Navigate to ADMIN > USERS and spot-check some user transcripts to confirm that this is now in their Removed transcript.
- If user previously completed this training, this training will be found in their Completed transcript.
- You can also run a report to confirm the training has been removed from users' transcripts (users who were in Not Started/Registered or In Progress status).
Considerations
The following considerations apply to this training removal functionality:
- If users were assigned or requested the training separately, the training may not be removed from their transcript until that user meets the removal criteria of all assignments.
- This option applies to all users in the assignment. Individual users cannot be included or excluded.
- Dynamic assignments cannot be reactivated again after training has been removed.
- Completed training cannot be removed from users' transcripts.
